Privacy Policy

1. Introduction

This Privacy Policy describes how Ara Capitals (Pvt) Ltd, the operator of the Beautiport platform, ("Beautiport," "we," "us," or "our") collects, uses, and shares information from and about you when you use our "Beautiport Partner App" (the "App") and the related platform services.

This App is intended for our registered business partners ("Merchant Partner," "you," "your"). This policy does not apply to the end-users of the consumer-facing Beautiport platform, who are covered by a separate user privacy policy.

Your use of this App is also governed by the Beautiport Merchant Partner Agreement (the "Agreement"). This Privacy Policy is a part of that Agreement. By downloading, accessing, and using the App, you agree to the practices described in this policy.

2. Information We Collect

We collect information necessary to provide the platform services, fulfill our contractual obligations under the Agreement, and ensure the security and functionality of the App.

A. Information You Provide Directly (Account & Financial Data):

  • Account Administrator Details: The personal details of the person creating the account, including their First Name, Last Name, Position, and (optionally) their Profile Picture.
  • Financial Payout Information: To facilitate payouts, we collect your Bank Account Holder Name, Account Number, Bank Name, Branch, and Account Type (e.g., current, savings).

B. Information You Provide About Your Staff (Team Data):

To build your team's profile and manage your schedules, you must provide information about your professionals/team members, including: First Name, Last Name, Gender, Position, Experience Level, Experience Unit, and Profile Picture.

By providing this information, you represent and warrant to Beautiport that you have obtained all necessary legal consents from your staff members to share this personal data with us for the purposes outlined in this policy.

C. Information You Provide for Your Public Listings (Business & Service Data):

  • Business & Store Details: To build your public profile, you provide details about your operation. This is collected either during registration or when you add new features later:
    • For "Services": Business Name, Type of Business (e.g., salon, spa), and Number of Professionals.
    • For "Products": Store Name, Type of Store (e.g., cosmetics store, ayurvedic products), and your Accepted Payment Options (COD/Online).
    • For "Hybrid": You provide details for both services and products.
    In all cases, we also collect your Business Address, Location, Business Hours, Contact Number, Website (optional), and your "About" description.
  • Service Details: Service Name, Category (e.g., hair care, skin care), Description, Available Slots, Pricing, Duration, and the Professionals assigned to that service.
  • Product Details: Product Name, Product Category, Brand, Price, Stock Quantity, Product Images, SKU (optional), and Barcode (optional).
  • Business & Profile Images: To build your public-facing profile, you also provide photos such as your main Cover Image, images for your Services Portfolio, Salon Interior Images, and Store Cover Image.

D. Information We Process on Your Behalf (Your Customer Data):

We collect and process customer information in two distinct ways:

  • Partner-Entered Data (Walk-in & Call-in Bookings): The App provides a feature for you to manage your own customers (e.g., walk-ins, phone calls). When you use this feature, you are providing us with the personal information of your customers, including their First Name, Last Name, and Contact Number.
  • Your Role as Data Controller: For this data, you are the "Data Controller." You represent and warrant that you have obtained all necessary consents from your customer to enter their data into our system for the purposes outlined in Section 3.
  • Platform Bookings & Orders: When an end-user makes a booking or purchase through the public Beautiport app, we collect their personal information (e.g., name, phone number, address) and provide it to you so you can fulfill the service or order.

E. Information We Collect Automatically (Technical Data):

  • Usage and Performance Data: We collect information about how you interact with the App, such as features used, screens viewed, taps, and other actions, to understand app usage and identify bugs.
  • Device and Technical Data: We collect information from your device, including its model, operating system, unique device identifiers (e.g., Device ID), IP address, and crash logs. This is essential for app functionality, security, and analytics.

3. How We Use Your Information

We use the information we collect for the following purposes, which are the basis for our declarations on the Apple App Store and Google Play Store:

App Functionality (Core Services):

  • To create and manage your Merchant Partner account.
  • To publish your public-facing business profile, service listings, and product shop on the Beautiport user app.
  • To publish your staff profiles (including name, position, experience, and profile picture) so that end-users can see who provides your services and you can assign them to bookings.
  • To facilitate, manage, and confirm bookings and orders from Users.
  • To provide you with a booking management tool for your own Partner-Entered Data (walk-in/call-in clients).
  • To use your Partner-Entered Data to send transactional SMS messages (confirmations, reminders, cancellations) to your customers on your behalf.
  • To process and remit your bi-weekly payouts and calculate commissions.

Developer Communications:

  • To send you service-related communications, such as booking/order confirmations, payout statements, security alerts, and important updates to our terms or policies.
  • To respond to your inquiries and provide technical or business support.
  • To use the contact information from your Partner-Entered Data to send a one-time invitation to your customer, inviting them to download the public-facing Beautiport (User) App for their own convenience.

Analytics:

To understand how our Merchant Partners use the App, allowing us to fix bugs, improve performance, and develop new features. (All data used for analytics is aggregated and/or anonymized where possible).

Fraud Prevention, Security, and Compliance:

  • To verify your identity and business information.
  • To prevent fraudulent activity and protect the integrity of the platform (e.g., enforcing Section 5.1 of the Agreement).
  • To comply with our legal, financial, and tax obligations.

4. How We Share Your Information

We are committed to protecting your trust. We do not sell your personal information. We only share your data in the following limited circumstances:

  • With End-Users: We share your public profile and listing information (business name, address, services, prices, staff profiles, photos, availability) with Users to enable them to find and book your services.
  • With Third-Party Service Providers: We use trusted third-party companies to help us operate our service. We share information with them only as necessary for them to perform their function. These include:
    • Payment Processors: To process your payouts (sharing your Financial Information).
    • Cloud Hosting Providers: To store all platform data (e.g., Amazon Web Services, Google Cloud).
    • Analytics & Crash Reporting Tools: To help us understand app usage and fix bugs.
    • Communication Tools: To send you emails or SMS messages.
  • For Legal Reasons: We may disclose your information if required by law, subpoena, or government request, or to protect our rights, property, or safety (e.g., to enforce the Merchant Partner Agreement).

5. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect the information we collect. This includes using encryption for data in transit (e.g., SSL/TLS) and encrypting sensitive financial information at rest. However, no security system is impenetrable, and we cannot guarantee 100% security.

6. Data Retention and Deletion

Retention: We retain your personal information as long as your Merchant Partner account is active. After your account is terminated, we will retain your information for a reasonable period as necessary to comply with our legal, tax, and financial record-keeping obligations (as required by Sri Lankan law).

Deletion: You may request the deletion of your account and associated personal data by contacting us. We will honor your request, subject to our legal and contractual obligations to retain certain information (as noted above).

7. Your Rights and Choices

  • Access and Correction: You can review and update most of your account, profile, and listing information directly within the App at any time.
  • Push Notifications: You can manage your preferences for push notifications through the settings in the App or on your mobile device.

8. Children's Privacy

The Beautiport Partner App is a business tool and is not intended for or directed at individuals under the age of 18. We do not knowingly collect personal information from children.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by posting the new policy in the App, sending you an email, or providing another in-app notification. Your continued use of the App after an update constitutes your acceptance of the new policy.
